Privacy Policy

Effective date: September 27, 2026

This Privacy Policy explains how Miracle Painting Company LLC (“Miracle Painting,” “we,” “us,” or “our”) collects, uses, stores, and shares information through Miracle AI, our internal business-assistant software (the “App”). The App helps our company manage scheduling, email, bookkeeping, and job information. It is used only by authorized members of our company and is not offered to the public.

This policy covers the App only. It does not cover other websites or services, including those of Intuit, Google, or Anthropic, which have their own privacy policies.

1. Who uses the App

The App is used only by Miracle Painting Company LLC and its authorized personnel (“Users”). We do not offer public accounts. Our customers and vendors do not use the App directly, but it may process information about them that is already part of our normal business records, such as names, contact details, job addresses, estimates, and invoices.

2. Information the App accesses

With our authorization, the App connects to the following accounts that belong to our company:

  • QuickBooks Online (Intuit). Accounting records, including customers, vendors, products and services, estimates, invoices, bills, expenses, account names, and financial reports such as profit and loss.
  • Gmail (Google). Email metadata and content in our company mailbox (sender, subject, date, message text) and our Gmail labels (folders).
  • Google Calendar (Google). Events on our company calendar.

The App also stores information that Users enter into it directly, such as tasks, job details, calendar entries, notes, settings, and chat messages.

3. How we use information

We use this information only to run our own business, including to:

  • Show a dashboard of our schedule, tasks, jobs, email, and financial summaries such as money owed, profit, and open estimates.
  • Draft estimates, invoices, and expense entries in QuickBooks Online. These drafts are created in QuickBooks only after a User reviews and approves them.
  • Sort our email into our own Gmail labels, and draft replies for a User to review. The App does not send email.
  • Read our calendar, and add events when a User asks it to.
  • Answer Users’ questions about our business records by text or voice.

We do not sell information. We do not use it for advertising, and we do not use it to build profiles of individuals for marketing.

4. Artificial intelligence processing

The App uses Claude, an artificial-intelligence service provided by Anthropic, PBC, to understand requests and prepare drafts, summaries, and answers. When a User makes a request, the relevant portions of the information described above (for example, an email being summarized or the customer and line items for an estimate) are sent securely to Anthropic’s application programming interface (API) for processing. Anthropic processes this data under its Commercial Terms of Service and Privacy Policy. Under those commercial terms, Anthropic does not use data submitted through its API to train its models.

AI-generated content can contain mistakes. Changes to our accounting records require a User’s review and approval.

5. How information is shared

We share information only as follows:

  • Service providers that the App connects to, for the purposes described above: Intuit (QuickBooks Online), Google (Gmail and Google Calendar), and Anthropic (Claude AI processing).
  • Weather: the App sends only our city name to Open-Meteo, a public weather service, to display the forecast.
  • Voice features: when a User speaks a command, the web browser’s built-in speech recognition (provided by Google or Microsoft, depending on the browser) converts the audio to text. Spoken replies use a voice that runs on our computer by default. If a User chooses an “online” voice, the text of the reply is sent to Microsoft or Google to be spoken.
  • Legal requirements: when required by law, legal process, or to protect our rights, property, or safety or those of others.

We do not transfer information obtained through QuickBooks Online or Google to any other third party. We never give any third party access to our QuickBooks Online data. Anthropic receives only the portion needed to complete a User’s request, and only to process that request for us. The App has no feature that exports QuickBooks Online data.

6. Google API Services: Limited Use

The App’s use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We use Gmail and Google Calendar data only to provide the App features described in this policy. We do not use it for advertising, and people do not read it except when a User does so as part of our business operations, when needed for security, or when required by law.

7. Where information is stored and how it is protected

The App runs on a computer controlled by our company. It is set up to be reachable only from that computer, not from the internet. Information the App saves, including connection tokens, tasks, job details, and copies of AI drafts, is stored in a private folder on that computer’s local drive. That folder is not synced to cloud storage. Connections to Intuit, Google, and Anthropic use encrypted HTTPS. We sign in to QuickBooks Online and Google using their standard secure authorization (OAuth), so the App never sees or stores our passwords. We limit access to the computer and accounts to authorized personnel.

No method of storage or transmission is completely secure, but we take reasonable steps to protect the information in our care.

8. How long we keep information

We keep information only as long as needed for our business and legal recordkeeping obligations. Our records in QuickBooks Online, Gmail, and Google Calendar are kept in those services under their own policies.

The App stores QuickBooks Online data only for its own functions. That data consists of the list of products, services, and accounts, and a few recent estimates that the App studies to prepare drafts (refreshed weekly), plus drafts and results waiting for or recently given a User’s approval. The details of completed QuickBooks jobs are deleted automatically after 90 days. Disconnecting the App from QuickBooks Online deletes its QuickBooks connection tokens and all QuickBooks Online data the App has stored.

Disconnecting the App from Google deletes its Google connection tokens and stops all further access. Other information saved by the App on our computer can be deleted by removing it from the App or deleting its data files.

9. Disconnecting the App

Authorized Users can disconnect the App at any time:

  • From within the App, using the Disconnect options for QuickBooks and Google.
  • In QuickBooks Online, under Apps / My Apps, by disconnecting the App.
  • In Google, at myaccount.google.com/connections.

10. Your choices and requests

If you are a customer, vendor, or other person whose information appears in our business records, you may contact us to ask what information we hold about you, or to ask us to correct or delete it, subject to our legal and accounting recordkeeping obligations.

11. Children’s privacy

The App is not directed to children and is used only by adult authorized personnel of our company. We do not knowingly collect personal information from children under 13.

12. Changes to this policy

We may update this Privacy Policy from time to time. We will post the updated version on this page and change the effective date above.
